Finalising a count

A manager or owner finalises a count in NOPI, which updates stock levels and locks the count into history.

Who can finalise

Staff can count and send. Only a manager or owner can finalise.

Finalising is restricted because it changes live stock levels and locks the count into history. If a staff member tries, they see “Only managers can finalize”.

Steps

Finalising happens in NOPI, not on the Swift Inventory tablet.

  1. A count arrives in NOPI as Needs review.
  2. As a manager or owner, open the count in the NOPI phone or web app: More → Inventory.
  3. Check the differences. See Review variance after a count.
  4. Tap Approve and post. You may see this button labelled Finalize.
  5. If the count has differences, confirm once more.

What finalising does

  • It updates each product’s current stock at that place. The difference against the books is recorded as a stocktake entry in the place’s stock history. That difference is your shrinkage figure.
  • It works out usage since the previous finished count of the same place: previous count + what came in − this count. “What came in” covers confirmed deliveries and transfers into that place.
  • It locks the count.

On the tablet, the count’s review then shows a finalised badge.

You cannot edit a finished count

This is by design. Finished counts are your venue’s stock history. Usage figures and reorders were worked out from those numbers, and editing history would quietly change them.

If a finished count has a wrong number:

  1. Do not try to edit it.
  2. Count that station or store again.

The new count becomes the current truth, and the next usage figure is worked out from it.

If you got “Only managers can finalize”

Ask your manager or owner to open the count in NOPI and finalise it.
